Secretary General;
Deputy Secretary General

SG and DSG
Oversee the day-to-day administration and operations of the conference.
Manage the HoP, HoAP, HoAs and HoGA.
Coordinate with Heads of departments to ensure efficient and effective operations.
Develop and implement conference policies, procedures, and guidelines.
Represent the conference in external engagements and negotiations, as needed.
Manage and resolve conflicts and issues among conference staff and stakeholders
Ensure compliance with relevant laws, regulations, and best practices.
Maintain responsibility for the overall success and impact of the conference.
Head of Protocol

HoP
Coordinate closely with the Presidency and participants to ensure smooth communication.
Oversee the development and implementation of protocol procedures.
Arrange and manage official visits, meetings, and ceremonies.
Ensure adherence to diplomatic norms and practices during events.
Manage and supervise Protocol affairs
Act as a liaison between the Secretariat and external stakeholders, including diplomacy representatives, sponsors and speakers.
Advise the Secretariat on matters of diplomatic protocol and etiquette.
Handle sensitive and confidential information with discretion.
Allocate sanctions and manage disciplinary matters.
Head of the General Assembly

HoGA
Oversee the planning and execution of the General Assembly sessions.
Coordinate with the Presidency and other stakeholders to develop agendas and schedules.
Supervise the General Assembly Presidency and ensure effective communication.
Manage logistical arrangements for General Assembly sessions.
Monitor and evaluate the progress of discussions and resolutions.
Foster collaboration and consensus among participants.
Provide guidance and support to delegates during sessions.
Ensure that all necessary documentation and materials are prepared and distributed.
Head of Accommodation and Press

HoAP
Coordinate accommodation arrangements for attendees and press team.
Liaise with hotels and other providers to secure favorable rates and conditions.
Manage room allocations, special requests, and modifications.
Supervise Accommodation and Press affairs to ensure efficient operations.
Develop and maintain relationships with press and media outlets.
Oversee press conferences, interviews, and other media-related events.
Ensure accurate and timely dissemination of information to the press.
Collaborate with the Secretariat and other stakeholders to develop press materials.
Head of Administrative Staff

HoAs
Supervise and manage the administrative staff.
Develop and implement administrative policies and procedures.
Coordinate with other Heads to ensure efficient support for their departments.
Oversee the recruitment, training, and evaluation of administrative staff.
Manage staff scheduling and workload distribution.
Foster a positive and collaborative work environment.

Head of Sponsorships

HoS
Identify potential sponsors and partners for the conference.
Develop and maintain relationships with sponsors and government stakeholders.
Collaborate with the Secretariat to create sponsorship packages and proposals.
Negotiate sponsorship agreements and contracts.
Coordinate with other departments to ensure proper recognition of sponsors during events.
Monitor and report on sponsorship performance and deliverables.
Oversee sponsorships to ensure effective communication and collaboration.
Maintain up-to-date records of sponsor contacts and contracts.
Head of Applications Management

HoAM
Oversee the application and selection process for conference participants.
Develop and maintain application forms, guidelines, and procedures.
Manage communication with applicants throughout the application process.
Coordinate with other departments to ensure accurate data entry and management.
Supervise Applications, ensuring efficiency and accuracy.
Utilize Excel and databases to maintain and analyze application data.
Collaborate with the Secretariat to make final participant selections.
Handle sensitive applicant information with discretion and confidentiality.
Head of External Communications

HoEC
Develop and implement an external communications strategy for the conference.
Coordinate with contractors, applicants, schools, and delegations to ensure effective communication.
Oversee the creation and distribution of promotional materials and information.
Manage relationships with external stakeholders, including schools, delegations, and partner organizations.
Supervise External Communications, fostering collaboration and efficiency.
Monitor and evaluate the effectiveness of external communication efforts.
Advise the Secretariat on communications best practices and potential improvements.
Ensure adherence to brand guidelines and messaging across all communications.
Head of Mgmt. and Participant Services

HoMS
Oversee IT infrastructure and support for the conference.
Develop and manage relationships with contractors for food, materials, and other services.
Collaborate with the IT team at ISB to ensure efficient operations.
Coordinate with other departments to identify and address technology and service needs.
Implement and maintain IT security measures to protect sensitive information.
Manage the procurement, distribution, and maintenance of equipment and materials.
Oversee the planning and execution of participant services, such as catering and transportation.
Troubleshoot and resolve IT and participant service issues as they arise.
Head of Outreach and Marketing

HoOM
Develop and implement marketing and outreach strategies to promote the conference.
Coordinate with other departments to create marketing materials and collateral.
Oversee the development and management of the conference website and social media channels.
Supervise Outreach and Marketing, ensuring efficient operations and collaboration.
Monitor and analyze marketing and outreach performance, making adjustments as needed.
Maintain relationships with media outlets, partner organizations, and other stakeholders.
Ensure consistent messaging and branding across all marketing and outreach efforts.
Advise the Secretariat on potential opportunities for increased visibility and impact.
Head of Treasury and Finance

HoTF
Manage the conference budget, including income, expenses, and financial reporting.
Coordinate with ISB Accountancy, applicants, and government institutions to ensure accurate financial records.
Oversee cash flow, financial forecasting, and risk management.
Develop and implement financial policies and procedures.
Supervise Treasury and Finance, ensuring accurate record-keeping and reporting.
Collaborate with other departments to monitor and control departmental budgets.
Advise the Secretariat on financial matters, opportunities, and challenges.
Ensure compliance with financial regulations, reporting requirements, and auditing standards.
